The type of personal information we collect
We currently collect and process the following information:
- Personal identifiers – such as Name and Telephone numbers
- Guests address – only requested if posting back forgotten items
- Payments Details – Debit or Credit card details for reservations and payments
- Electronic Contact Details – Email address for booking confirmation
How we get the personal information and why we have it
Most of the personal information we process is provided to us directly by you for one of the following reasons:
- Directly booking accommodation with us at our B&B
- Paying for accommodation booked directly with us at the B&B
- Confirming your booking with us by email
- Posting back any left items to the address you provided
We also receive personal information indirectly, from the following sources in the following scenarios:
- Bookings for our B&B which comes via the Booking.com website
- They email us a notification of your booking with a link to the actual booking details which is opened within our Extranet account with BDC and this includes your Name and dates you require.
- BDC provides us access to a Virtual Credit card detail if the guest has prepaid BDC using their own card. We do not get access to the guest card details in this instance.
- BDC provides access to guest’s own Debit/credit card details if they have provided them. These are viewed on our BDC’s Extranet account
- We can receive and respond to messages sent via BDC’s message system within the Extranet account.
We use the information that you have given us in order to;-
Reserve a Guest booking at Sunset House B&B
Communicate information to the Guest after a Guest enquiry
Confirm a booking via email confirmation if required
Take payment for a Guest booking with us, either directly or via BDC

Sunset House B&B does not share your information with any other Organisation.
Sunset House is owned and managed by the owner and does not have any other members of staff who see your information.
Under the UK General Data Protection Regulation (UK GDPR), the lawful bases we rely on for processing this information are:
(a) Your consent. You are able to remove your consent at any time. You can do this by contacting Sunset House B&B 01953 714871
(b) We have a contractual obligation with BDC to provide accommodation that is booked via their website with the information that is provided by guests.
How we store your personal information
Your information is securely stored.
We keep Names, Phone Contact Details, and Card Payment Details, for use up and including your stay with us and subsequent payment to us for your stay. We will then dispose of your information by removing any written reference to your Credit or Debit card details from our paperwork by shredding and burning the data.
We do not store your data electronically or on any Computer or Laptop, so your data cannot be put at risk by the loss or theft of a laptop or a home computer and none of your personal information can be accessed by a hacker.
Your data protection rights
Under data protection law, you have rights including:
Your right of access – You have the right to ask us for copies of your personal information.
Your right to rectification – You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.
Your right to erasure – You have the right to ask us to erase your personal information in certain circumstances.
Your right to restriction of processing – You have the right to ask us to restrict the processing of your personal information in certain circumstances.
Your right to object to processing – You have the the right to object to the processing of your personal information in certain circumstances.
Your right to data portability – You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.
You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
